Sends the menu, the quote or whichever document is needed during the conversation.

Explaining down the phone what fits in a PDF

The address, the menu, the price list, everything you need to bring. Dictated over the phone, letter by letter, twenty times a day.

Some information is not understood when it is told: it is understood when it is read. And it still gets dictated over the phone, with the customer writing it on a piece of paper they will lose. When somebody promises to send it later, that later arrives late or never, because whoever promised it was serving someone else. The conversation ends well and the customer is left without what they needed.

Hi, which facial treatments do you offer, and at what price?
S
We have six. I am sending you the price list over WhatsApp now.
Great. Can you send me directions too?
S
Done, you have the price list and the location on your phone.
Sent over WhatsApp

It sends it while it talks

It is not an automatic email afterwards: it is the document on the customer's phone before they hang up.

  • It sends the document during the conversation, not once it is over.
  • It picks which one to send based on what is being discussed.
  • It sends links just as it sends files: location, form or menu.
  • It sends it on WhatsApp, to the number they are calling from.
  • It checks that it went out and says so out loud.
  • It records what was sent and to whom.

The documents, and when each one goes

Nothing has to be created: these are the files you already send by hand. All that is needed is when each one goes out.

The files
The menu, the price list, the form or the link you already send every day.
The rules
Which document belongs to which kind of enquiry.
The channel
The business's WhatsApp, which is where it arrives and gets read.
The upkeep
Who updates the menu or the price list when the prices change.

The customer hangs up with the document

The difference between promising to send it and having sent it shows up in the next call, which does not happen.

  • The document delivered, on the phone and before hanging up.
  • The right version, today's and not last year's.
  • A shorter call: it gets sent instead of dictated.
  • The delivery confirmed, said in the conversation itself.
  • A record of what gets asked for most, which tells you what is missing from your website.

Wherever there is something to show

Share is hardly ever the reason for the call: it is what finishes it off.

It sends the confirmation with the address and what to bring.
When the answer is a document, it sends it instead of reading it out.
It sends on WhatsApp what has just been discussed on the phone.
It resends the invoice, the warranty or the report without looking for anyone.

Where the limits are

We say it here so nobody discovers it in a demo. Share sends what you have given it, and only that.

  • It does not create documents. It sends yours; it does not draft a new quote.
  • It does not keep them up to date. If the menu changes, the new one has to be uploaded.
  • It does not send sensitive data to just anyone. A record or an invoice requires identifying the caller first.
  • It does not guarantee it gets read. It delivers and confirms; opening it is up to the customer.
  • It does not replace your website. It sends a link or a file, not a new page.

What everybody asks

The six questions of anyone who spends the day dictating the same thing.

Can it send the menu or a quote during the call?

Yes, heydiga sends the menu, a quote or whatever document is needed while it talks to the customer, over WhatsApp to the number they are calling from. The customer gets it instantly, without writing anything down or waiting for it to be sent later, and heydiga checks it has gone out and confirms it on the call itself. The plans section shows which plans include sending the menu, catalogue or price list.

What documents can the agent send?

heydiga sends the files and links the business already sends by hand: the menu, price lists, a standard quote, a form, the location or instructions before an appointment. It does not create documents or draft a new quote: it sends the ones it has been given, so when the menu or price list changes, the new version has to be uploaded.

How does the agent know which document to send?

heydiga chooses the document from what is being discussed: the business assigns one to each type of enquiry, and if in doubt it asks the customer before sending. So whoever asks how to get there receives the location and whoever asks for the menu receives the menu, without anyone on the team having to look for it.

What if the customer calls from a landline?

heydiga asks which mobile number to send the document to, because it sends it over WhatsApp and a landline cannot receive it. If the customer has nowhere to receive it, it says so rather than assuming it has arrived. When it does go out, it confirms it on the call itself and a record is kept of what was sent and to whom.

Can it send an invoice or a medical report?

heydiga only sends an invoice, a report or any personal document after checking who it is talking to. Anything personal requires identifying the caller first, which is the job of the Identify skill: it asks for a second detail when the matter is sensitive. General items, such as the menu or the location, are sent straight away.

How do I manage appointments and bookings on WhatsApp with heydiga?

Customers message the business on WhatsApp and heydiga replies just as it does on the phone: it checks the free slots, confirms the appointment and creates it in the calendar. It uses the same information as the voice agent and does not duplicate appointments between the two channels, so it makes no difference whether the customer calls or writes. The plans section shows how to add the WhatsApp channel to each plan.
